How to Book a Meeting and Reserve a Meeting Room
Tool: Microsoft Outlook (Desktop App and Web)
Step 1: Open Your Outlook Calendar

Open Outlook.
Go to the Calendar icon at the bottom left

Visit https://outlook.office.com.
Click the Calendar icon on the left panel.
Step 2: Create a New Meeting
Click New Meeting (or “New Event”).
- Add Meeting Details
Title of the meeting
Required attendees
Date and time
- Add a Meeting Room
Click on Location
Select one of the available rooms
Step 4: Check Availability
Click Scheduling Assistant to view the calendar of all attendees and rooms.
This helps you to avoid conflicts and find a slot when the room and everyone are available
Step 5: Send the Invite
Once all details are filled in and the room is selected, click Send.
The room will auto-accept if available.

Book in advance to avoid availability issues
Cancel if not needed, so others can use the room
